The 10 Fundamentals of Productivity

At Software and Process Design, we've discovered that most goals can be achieved by breaking them down into essential steps, roughly 10 fundamental principles. We call these principles the 10 Fundamentals.

Think of these Fundamentals as a roadmap for success. Whether you’re aiming to achieve something big or small, these 10 Fundamentals are like simple rules to follow, breaking down any goal into actionable steps.

What makes it even more exciting is that we're actively developing tools to simplify this journey further. As you read through this guide, see how these Fundamentals, when combined with our tools, become your companion for reaching your goals.

1. Set clear, SMART goals.

The first step to becoming more productive involves setting S.M.A.R.T. (specific, measurable, achievable, relevant, and time-bound) goals.

SMART goals set the foundation for success because it means you have a plan. A plan provides direction and purpose, turning big, complicated dreams into clear steps. This can help to make goals more achievable and motivating.

With our upcoming productivity tools, you’ll be able to set and achieve SMART goals easily. Here’s how:

  • Setting specific goals means being able to organize your tasks based on exactly what you want to achieve and with our upcoming tools, you can do just that.

  • Measuring your goals requires the ability to break them down into different steps while maintaining hierarchy or organization. With our tools, you’ll be also able to set timelines for individual tasks and larger goals. Not only that, but you’ll also have a visual representation of your overall progress, fueling your productivity.

  • Setting achievable goals means they are realistic, i.e. you have the skills and resources required to achieve them. Our tools will make achieving goals realistic since you’ll have access to a ton of information and people who can help you be successful. Discover new fundamental principles and processes with our tools and learn more skills.

  • Relevant goals align with your values in life, which means a relevant goal is something important to you. Setting relevant goals is easy with our tools since you’ll be connected to principles that relate to your current goals.

  • Setting timeframes for your goals and measuring the individual tasks can be confusing, especially when you have so many competing priorities. That’s why we’re building tools that help you organize all the things you need to accomplish, with set time frames to keep you on track.

2. Don’t multi-task; prioritize.

Productivity is not just about achieving goals; it’s about doing so efficiently and that’s where prioritizing comes in handy.

Prioritizing the tasks related to your goals is crucial because it helps you focus on the tasks that contribute most to your goals.

Our upcoming tools will help you organize your tasks so you can see what needs attention first and effectively prioritize your goals. Juggling many tasks at one time may help you feel productive but doesn’t always produce the best results.

Instead, try prioritizing your tasks using our upcoming tools. This ensures that your time and energy are invested where they matter the most so you can be more efficient and productive.

3. Create a schedule to manage your time wisely.

By setting goals with specific timelines, you can manage your time more effectively and increase productivity.

Creating a schedule for your tasks helps organize your day and reduces the overwhelming feeling of being unable to complete everything. With a clear visual of your tasks, you can plan better and you’ll be able to do this soon using our productivity tools.

While it’s important to manage your time, it’s also important to manage your energy. When you schedule your tasks, try planning to do the toughest items when you know you’ll have the most energy (like before you eat that big lunch, for example).

More importantly, scheduling your tasks allows you to take breaks without feeling guilty because you know exactly what you need to accomplish and when. This is important because you may miss simple mistakes after focusing on something for a long time.

However, if you take a short 10–15-minute break and return with fresh eyes, you may catch something you previously missed.

Smart time management means fitting your goals into your everyday routine. Our tools help you schedule your tasks so you’ll be able to integrate your goals into your daily life and spend more time on things that bring you success.

It's not just about achieving goals; it's about making every moment count and enhancing your overall productivity in the process.

4. Stay focused by keeping everything in one place.

In a world full of distractions, it can be hard to stay focused and productive. With so many apps and products to bounce through to achieve everyday tasks, it can be difficult to stay organized and on track to meet your goals.

6. Reflect on and learn from your progress.

Reflecting means looking back and learning from what you've done so you can make improvements.

Pay attention to what makes you productive - maybe it’s your favourite scented candle or some light jazz music in the background.

Whatever helps you focus, be sure to take note of it! If you’re not sure what makes you productive, find out what doesn’t work for you and start from there. Failure often leads to success so don’t be afraid to fail; you may learn something from it!

Success is a journey, not a destination. Try using our tools to keep track of the things that make you feel productive (and the things that don’t). With some dedication, you’ll be able to evolve, adapt, and become a more productive person over time.
